Move-In Coordinator | Contract Part Time

The Career.
As the Move-In Coordinator at a V!VA Retirement Community, you will report to the Concierge/Office Manager and works closely with the Community Relations Manager. You will assist Community Members as they transition into the V!VA Thornhill Woods. The Move-In Coordinator acts as a go between for Community Member and the operations team to coordinate all aspects related to a move in.

Key Responsibilities include but not limited to:

  • Meet with Concierge/Office and Community Relations Manager to review Move-In Status Spreadsheet and tasks
  • Schedule move-in dates, assessment dates and contract signings, manage elevator bookings, assigns parking spot if necessary
  • Prepare all move-in documentation
  • Greet movers, Community Members and family on the day of move-in
  • Program fobs and mail key
  • Daily update of suite assignments, move-in schedule and contractor deficiencies
  • Daily walk though of model suite, show floor and respite/hospitality suites, daily move-in suites, amenity spaces, follow up with Services Manager regarding concerns
  • Arrange bookings for move-in lunch/dinner for Community Member and Guests
  • Delivers welcome basket to Community Member
  • Checks in on Community Members 3 days after move-in

Qualifications include but not limited to:

  • Customer service experience preferably within the retirement living or hospitality related industries
  • Post-secondary education would be an asset, preferably in business related field
  • Interested in working in a highly customer service-oriented environment and thriving on making a difference in the lives of seniors
  • Confident, results oriented, self-starter
  • Strong organization skills
  • Excellent oral communication and presentation skills
  • Is flexible to work changing work hours e.g. ability to work weekends and some evenings
  • Proficient in Microsoft Office
  • An enthusiastic leader who fosters a positive environment and is committed to putting smiles on the faces of others
  • Exceptional customer service standards
  • Able to understand, articulate and live the V!VA Orange Dot Values
  • Able to effectively communicate in verbal and written English
